We offer three levels of lettings and management service and are able to tailor these to provide a bespoke service offering for every landlord:
Tenant Finder Service
- Provide a rental valuation of the property and give general advice as required.
- Provide legal, health and safety information with regard to letting your property, in accordance with current legislation.
- Advertise the property as necessary, interviewing and selecting tenants, arranging and carrying out viewings.
- Ensure tenants have the right to rent.
- Obtain references and carry out credit checks as appropriate.
- Draw up an Assured Shorthold Tenancy Agreement and arrange for the tenants to sign.
- Provide the How to Rent guide and other legal documentation to the tenants
- Collect the security deposit and register with/transfer to an appropriate government authorised scheme in accordance with current legislation.*
- Collect the first payment of rent.
- Arrange for the drawing up of an Independent Inventory and provide copies to the tenant and landlord.
- Move in the tenants into the property at the start of the tenancy, taking all meter readings and assisting with any move in issues.
- Transfer all utility bills including council tax liability into your tenant’s name from the start of the tenancy.
Please Note: Thereafter Kilostate will hand over the tenant to the the landlord who will be responsible for managing the property including: collecting the rent, managing any tenant issues and maintaining the property.
Full Management Service
Includes all of the features of our introduction and rent collection services plus:
- Deal with all day-to-day management tasks.
- Inspect the property on a quarterly basis during the period of the tenancy.
- If the property requires any maintenance or repair work to be carried out, we will at all times contact the landlord before authorising such works and obtain the landlords consent. We do however; reserve the right to instruct a contractor to carry out any emergency repairs if required.
- If instructed pay bills on behalf landlord in relation to the property.
- Oversee and account for any necessary maintenance.
- In the event of any legal proceedings, we will issue all legal notices Section 21 etc. Submit all relevant documentation to the solicitors and attend Court as may be required, without any additional costs.
Please Note: The above service does not include Rent Protection Policy; this can be provided at an additional cost.
Kilostate Complete
- Provide a Guaranteed Rental Valuation of the property. Subject to the property being up to the standards required, further details will be provided during the valuation.
- Provide legal, health and safety information with regard to letting your property, in accordance with current legislation.
- Forward to the landlord on an agreed date the monthly Guaranteed Rent by bank transfer. This will be paid to the landlord regardless of whether we receive the rent from our sub-tenant. Kilostate effectively become the tenant of your property.
- We will pay rent for all void periods during the agreed term
- Advertise the property as necessary, interviewing and selecting tenants, arranging and carrying out viewings.
We will still...
- Where necessary, obtain references and carry out credit checks as appropriate on any sub-tenants.
- Draw up a standard Assured Shorthold Tenancy Agreement and arrange for the tenants to sign.
- Where necessary, collect the security deposit and register with/transfer to an appropriate government authorised scheme in accordance with current legislation.
- Arrange for the drawing up of an Independent Inventory.
- Move in the tenant(s) into the property at the start of the tenancy, taking all meter readings and assisting with any move in issues.
- Transfer all utility bills including council tax liability into sub-tenant(s) name from the start of the tenancy.
- Deal with all day-to-day management tasks.
- Inspect the property on a quarterly basis during the period of the tenancy.
- Maintenance

Please Note: There is a minimum term of 1 year for the Kilostate Complete & the landlord will incur costs for inventories & inspections.
Your Legal Requirements as a Landlord
Energy Performance Certificate
Before marketing your property, you must have an EPC with a minimum rating of E in order to let your property. Certificates are valid for 10 years. As part of our services, we can arrange this for you to ensure your property is compliant.
Gas Safety Regulations
Before your property is let, you must have a valid gas safety certificate (CP12). Certificates are valid for 12 months and are issued by qualified Gas Safe registered engineers. A copy of the certificate must be left at the property. As part of our services, we can arrange this for you to ensure your property is compliant.
Electrical Safety Regulations
Subject to approval by both Houses of Parliament landlords and agents will need to ensure electrical installation inspections and testing are carried out for all new tenancies in England from 1 July 2020 or from 1 April 2021 for existing tenancies. It is the Landlords responsibility to ensure that the electrical system and all electrical appliances provided for the tenancy — such as cookers, kettles, toasters, microwaves, fridges and washing machines —are safe to use and are provided with instructions for safe use. Any non-repairable items must be replaced and removed. An NICEIC or similarly qualified electrical engineer must carry out these tests on an annual basis. As part of our services, we can arrange this for you to ensure your property is compliant.
Smoke Detector Requirements
Landlords are required from 1 October 2015 to have at least one smoke alarm installed on every story of their properties and a carbon monoxide alarm in any room containing a solid fuel burning appliance (e.g. a coal fire, wood burning stove). After that, the landlord must make sure the alarms are in working order at the start of each new tenancy. As part of our services, we can arrange and test this at the beginning of every tenancy.
The Furniture and Furnishings Regulations
All upholstered furniture (such as sofas, settees, armchairs, seat pads, beds, mattresses, headboards, pillows, cushions and bean bags) must comply with the regulations, be fire resistant and carry a permanent label to this effect. All upholstered furniture made after 1950 is included in these regulations and if compliance cannot be proved the item must be removed and replaced.
Money Laundering Regulations
As Agents we have a legal responsibility to ensure we comply with the Money Laundering Regulations. Before we let your property, we will require two forms of identification; one of which needs to be a new style driving license or passport showing your photograph and the other, verification of your address. Also proof of ownership is required such as mortgage statement or title deed to ensure the property is legitimateley let.
Right to Rent
In line with the Immigration Act 2014, from 1st February 2016 all landlords and letting agents in England who produce a tenancy are required to conduct ID and Right to Rent checks on all adult occupiers. It is a mandatory requirement for anyone who lets a private property in England to see and make a copy as evidence to show that the adult tenant has the right to rent in the UK; whether this continuous or time limited. Landlords or agents who fail to do these checks correctly could be liable for a fine of up to £3,000 per occupier.
